PURPOSE OF THE UNIT STANDARD 
This unit standard is for learners working within a Real Estate environment, seeking to acquire or enhance the competences required to be a Principal in a Real Estate business or working within a Real Estate environment specialising in management or sales or rental. The acquisition of competence against this standards will add value to their understanding of the sector and functioning in the workplace. This standard will enable the learner to develop and implement appropriate Real Estate administration systems, policies and procedures to ensure a productive and profitable business.

The qualifying learner will be capable of:
  • Managing buyer/seller/landlords/tenant records to required quality of organisation.
  • Co-ordinating activities in debtors department to enhance financial operating performance and cash flow.
  • Identifying, planning and implement Real Estate administrative systems, policies and procedures.
  • Liaising with tenants, business providers and other role players in Real Estate environment. 

  • LEARNING ASSUMED TO BE IN PLACE AND RECOGNITION OF PRIOR LEARNING 
    It is assumed that the learner accessing this standard will be competent in Communications and Mathematical literacy at NQF Level 4. 

    UNIT STANDARD RANGE 
  • Administrative systems and policies include but are not limited to debtors, tenants, employees, IT systems, payment, client information and collections and Real Estate projects such as property development.
  • Administrative functions include but are not limited to staff salary processing, PAYE (Pay as you Earn) processing, Tax administration, maintaining FICA records, MLS (Multi listing services), deeds results.

    The capturing of data of clients/tenants is managed to ensure it is completed on time, within budget and resource allocation. 

    ASSESSMENT CRITERION 2 
    Administration systems are monitored by random observation in a given or selected work situation. 

    ASSESSMENT CRITERION 3 
    Administration systems used are compared against systems plans and overall strategic objectives. 

    ASSESSMENT CRITERION 4 
    Unplanned or unscheduled contingencies are identified, and remedial actions implemented to realign system and meet organisational requirements. 

    SPECIFIC OUTCOME 2 
    Co-ordinate activities in debtors department to enhance financial operating performance and cash flow.

    Processing of client/tenant statements is monitored against agreed criteria and timeframe. 

    ASSESSMENT CRITERION 2 
    The status of defaulters is evaluated by means of a range of techniques in terms of debtor control policies. 

    ASSESSMENT CRITERION 3 
    A range of follow-up procedures is applied to defaulters to ensure payment of outstanding monies by client/tenants. 

    ASSESSMENT CRITERION 4 
    An evaluation of debtor status is presented to illustrate that the debtor monitoring system is in place and functioning. 

    SPECIFIC OUTCOME 3 
    Identify, plan and implement approved Real Estate administrative systems, policies and procedures.

    ASSESSMENT CRITERION 1 
    Measures of the administrative system performance are evaluated against agreed expectations and in terms of their impact on the wider organisation. 

    ASSESSMENT CRITERION 2 
    Where the system is not fully effective, remedial action is taken that realigns implementation with agreed expectations. 

    ASSESSMENT CRITERION 3 
    Activities, events, information and decisions are documented in accordance with organisational requirements and procedures. 

    ASSESSMENT CRITERION 4 
    Changes to systems and policies are negotiated with relevant stakeholders and documented according to planned timeframes.

    Liaise with tenants, business providers and other role players in Real Estate environment.

    Service level agreements are compiled and in place in the required format and timeframe.
