PURPOSE OF THE UNIT STANDARD 
This unit standard is intended for people who are tasked with managing regular meetings at the workplace or those who wish to acquire facilitation skills to be able to, amongst others, facilitate strategic planning workshops, crisis management, project management, conflict resolution sessions, and conduct needs analyses. Learners will be equipped with knowledge and skills to manage the process of the meeting/workshop effectively, record all ideas and opinions generated by participants in meetings/workshops, manage group thinking, collaboration and consensus and produce organisational outcomes.

Learners accredited with this Unit Standard will be capable of:
  • Planning and preparing for facilitation of a meeting/workshop.
  • Demonstrating an understanding of roles of a facilitator to lead and manage group interactions.
  • Determining and structure the rules of procedure.
  • Facilitating consensus from the participants about what the meeting should achieve.
  • Facilitating the meeting/workshop using various techniques to achieve outcomes.
  • Evaluating and interpreting information to provide guidance towards achieving meeting/workshop outcomes.

    The types, size and character of the meeting/workshop are clearly identified and described with examples. 
    ASSESSMENT CRITERION RANGE 
    The types and size of meetings/workshop include but are not limited to formal and informal meetings; the sizes include but are not limited to only a few people present, small group meetings, mass meetings, seminars, workshops; character of meetings include, but are not limited to information meetings where specific information is conveyed to those present, decision-making meetings/workshop, planning meetings/workshop.

    Pre-agenda setting consultations are appropriately conducted to determine items to be included in the programme/agenda according to organisational requirements is obtained from relevant sources.

    People or individuals to participate in the meeting/workshop are identified and confirmed.

    Demonstrate an understanding of the roles of a facilitator to lead and manage group interactions.

    The concepts of leadership and management are defined and described in context.

    The concept of group dynamics is defined and described with examples.

    The concepts of interpersonal communication and conversational styles are defined and explained in context. 
    ASSESSMENT CRITERION RANGE 
    Interpersonal communication refers to hearing and listening, active listening techniques include but not limited to asking for more information or clarification, paraphrasing content, mirroring feelings, stating one's own feelings, offering to help solve the problem together.

    The concept of conflict is defined and the steps taken to resolve conflict during a meeting/workshop are identified and described. 

    ASSESSMENT CRITERION 5 
    Group interaction, communication, collaboration and creativity are optimised between participants to promote free flow-of-thought and creativity by the participants. 

    ASSESSMENT CRITERION 6 
    Any forms of distractions are minimised to achieve the outcomes of the meeting/workshop.

    Common problems associated with meeting/workshop rules of procedure are identified and explained with examples. 
    ASSESSMENT CRITERION RANGE 
    Common problems include but are not limited to, multi-headed animal syndrome, confusion between process and content, personal attacks, traffic problems, unclear participant roles and responsibilities, manipulation, unresolved questions, communication problems.
     

    ASSESSMENT CRITERION 2 
    The general and common order rules of procedure for meetings are explained within context according to organisational requirements to ensure orderly and productive meetings. 

    ASSESSMENT CRITERION 3 
    Ground rules (housekeeping rules) of meeting/workshop procedure and process are determined and structured and agreed upon by participants through consensus. 

    ASSESSMENT CRITERION 4 
    The roles and responsibilities of each participant are established and communicated at the appropriate time to avoid confusion. 

    SPECIFIC OUTCOME 4 
    Facilitate consensus from the participants about what the meeting should achieve.

  • Any institution offering learning that will enable achievement of this Unit Standard and the related Exit Level Outcomes of the Qualification must be accredited by the relevant ETQA.
  • External Moderation of assessment will be overseen by the relevant ETQA at its discretion.
