PURPOSE OF THE UNIT STANDARD 
This Unit Standard is for learners who use a computer in a business environment. It is an introduction to basic computer literacy.

The qualifying learner is capable of:
  • Demonstrating the basic functions of a spreadsheet package.
  • Managing files in a spreadsheet package.
  • Formatting and editing data in an existing spreadsheet.
  • Constructing formulae and manipulating data.
  • Present data in different formats. 

  • LEARNING ASSUMED TO BE IN PLACE AND RECOGNITION OF PRIOR LEARNING 
    Learners should:
  • Hold a GETC or equivalent qualification; or
  • Be competent in Communication and Mathematical Literacy at NQF level 2. 

  • UNIT STANDARD RANGE 
    The typical scope of this Unit Standard is:
  • Basic concepts include, but are not limited to, formulas, functions, text, numbers, number of sheets and number of columns and rows.
  • Information on the screen includes, but is not limited to, menus, toolbar, status bar, shortcut keys, formula bar, cells, rows, columns and scroll bar.
  • Use of keyboard and mouse includes, but is not limited to, moving from sheet to sheet, moving from cell to cell, jumping to a cell using the go to option and using scroll bars.
  • Text and numeric data includes, but is not limited to labels, currency, date, and decimal format.
  • Use of the filing system includes, but is not limited to, open, move, copy, rename and delete a specific file or folder.
  • Formatting includes, but is not limited to, fonts, alignment, numbers, borders, shading, patterns, cells, rows, columns, size and cell protection.
  • Manipulation of data includes, but is not limited to, cut, paste, move, copy, delete, insert, hide and sort.
  • Use of formulae includes, but is not limited to, the structure of a formula, use of the relevant formula for a specific purpose, absolute/relative cell reference.
  • Application of formulae includes, but is not limited to the use of the toolbar and menu bar and in cell editing.
  • The spell check function includes, but is not limited to, checking a single word, checking a document and adding words for future reference.
  • Printing includes, but is not limited to, printing a single page, printing the entire workbook, set and clear a print area.
  • Sending e-mail includes sending a file from within a spreadsheet or sending it as an attachment.
  • Presentation formats include tables, pie charts, bar graphs, line graphs and schedules.
  • Reports may be printed and emailed.
  • Checking for suitability includes, but is not limited to, headers, footers, page divisions, page numbers, page orientation, margins, paper size, repeated rows and/or column headings.

    A spreadsheet is accessed and an indication is given of the information contained on the screen. 

    ASSESSMENT CRITERION 3 
    The default options are changed to suit own preferences. 

    ASSESSMENT CRITERION 4 
    The keyboard and mouse are used to navigate a spreadsheet package. 

    ASSESSMENT CRITERION 5 
    Text and numeric data is entered in a spreadsheet to create a new document. 

    ASSESSMENT CRITERION 6 
    The help function is demonstrated for a specific task.

    Manage files in a spreadsheet package.

    ASSESSMENT CRITERION 1 
    The basic computer filing system within a spreadsheet package is navigated to open, move, copy, rename and delete a specific file or folder. 

    ASSESSMENT CRITERION 2 
    A file is saved with reference to type, format and version. 

    ASSESSMENT CRITERION 3 
    The difference between Save and Save As is explained with examples.

    Format and edit data in an existing spreadsheet.

    The data in the spreadsheet is formatted for a specific purpose and design.

    Data in a spreadsheet is manipulated to change the appearance of the document to match the purpose.

    The layout and format of the spreadsheet are checked for suitability.

    The application of formulae in a spreadsheet package is demonstrated with reference to the entering of formulae. 

    ASSESSMENT CRITERION 3 
    Verification of data in a spreadsheet is demonstrated in order to check accuracy of the calculations. 

    ASSESSMENT CRITERION 4 
    A formula is edited and/or verified to accommodate changes in data.

    Present data in different formats.

    The presentation formats available in a spreadsheet package are identified and an indication is given of when it is appropriate to use each.

    Data is prepared for presentation in different formats and layout according to a defined purpose.

    The spell check function is applied and a document is produced for a specific audience.
